Fitness pass partners

Fitness passes such as EGYM Wellpass let employees train at many gyms on their employer's plan. The partner pays you for each visit. Nola checks every check-in with the partner, opens your door, and lets you compare the visits with the partner's monthly payout statement.

#Connect EGYM Wellpass

1. Open Settings → Partners.
2. On EGYM Wellpass, click Connect.
3. Enter the API key EGYM gave you and, if you have one, the Venue ID. Click Connect. Nola checks the key with EGYM and stores it encrypted.
4. Nola shows a Signing secret once. You only need it if a partner or your own system sends check-ins to Nola (see Check-ins sent to Nola). Copy it, then click Done.

Want to look around first? Click Try in demo mode. A demo connection links any TAN and accepts every check-in without contacting EGYM.

#Choose the door and the rules

On the Settings tab of the connection:

• Door to open on check-in: the door that opens when a partner member checks in. Pick No door (log the visit only) if you only want the visit counted. The check-in runs your normal door rules, so opening hours, zones and capacity still apply. See Door access for members.
• Zones partner members can use: none ticked means every zone.
• Let partner members in when no staff are on site: off by default. The zone's unstaffed rules (age, photo, waiver, induction) still apply.
• Payout per visit: what the partner pays you for one visit. Nola uses it for the expected total on the Payouts tab.

Click Save.

#Link members

EGYM Wellpass members link their membership to your gym once, with the 9-digit TAN from their Wellpass app.

• At the desk: on the Members tab click Link member, find the client, enter the TAN and click Link.
• On their own: copy the Member link page from the Settings tab and put it on a poster or QR code at the entrance. Members sign in, enter their TAN and click Link membership.

A linked member gets a door pass in their account. See Your door pass.

#Check-ins

Each visit starts with a check-in. Nola asks EGYM whether the member may train today and records the visit:

• The member taps Check in for today on their Door pass page, or staff click Check in next to the member on the Members tab.
• When EGYM accepts, the door you chose opens and the member's own door pass works for the rest of the day. At the desk the check-in shows as Partner visit.
• A second check-in the same day doesn't count as a new visit. The partner pays one visit a day.
• When EGYM refuses, the door stays shut and staff see why, for example the membership has ended.

End link on the Members tab stops a member checking in until they link again. The Visits tab lists every check-in of a month, valid or refused.

#Compare with the payout

At the end of the month the partner sends a payout statement. On the Payouts tab:

1. Pick the Month.
2. Under Import statement (CSV), choose the statement file. It needs date, member id and amount columns; a check-in id column is optional. Comma or semicolon separated files both work.
3. Nola matches the statement with the visits it logged and shows:
   • Visits logged and the Expected total (visits × your payout per visit),
   • the total On the statement and how many visits Matched,
   • Logged in Nola, not on the statement: visits to claim from the partner,
   • On the statement, not in Nola: rows to check.

Importing again for the same month replaces the earlier statement. In demo mode, Make a demo statement creates a statement that pays every logged visit.

#Check-ins sent to Nola

Partners or your own middleware can send check-ins to the Check-in endpoint shown on the Settings tab. Each request is a JSON body with checkInId, memberId and optionally memberName, email and at, signed with the signing secret:

• X-Nola-Timestamp: the time in Unix seconds,
• X-Nola-Signature: the hex HMAC-SHA256 of <timestamp>.<body>.

The same checkInId is stored once. A member Nola doesn't know yet is added as a client. New signing secret replaces the secret; the old one stops working.
