Email and SMS campaigns
Send one-off or scheduled email and SMS campaigns to filtered clients and members, and set up daily automations for members who stop coming, memberships that end, birthdays and more.
Campaigns let you message your client list by email or SMS: a one-off announcement, a scheduled send, or an automation that runs every day and reaches clients when they match a trigger.
Before you start
- Your clients need an email address (for email) or a phone number (for SMS). Check them on the Clients page.
- Campaigns go only to clients who agreed to marketing, whatever filters you use. A client with no recorded answer gets no campaigns. Record a client's answer on their card (see Clients), or bring it in with a marketing column when you import clients.
- SMS also needs the client's opt-in to SMS, and email an address that hasn't opted out of email.
- Every campaign email ends with an unsubscribe link, and mail apps such as Gmail show an Unsubscribe button for it. Unsubscribing, or marking the email as spam, turns the client's marketing consent off. The consent overview records when and how.
Write and send a campaign
- Open Marketing → Campaigns in the sidebar. Your campaigns are listed with their channel, status and when they were created, scheduled or sent.
- Click New campaign. A sheet opens.
- Add an Internal name so you can find the campaign later. Clients do not see it. Left empty, the subject is used.
- Pick Send by: Email or SMS.
- Fill in the Subject and Message body. Nola adds a greeting with the client's full name above your text and your business name below it. To greet by first name instead, change the campaign message template with
{{firstName}}(see Edit message templates). - Narrow the audience with Audience filters (see the table below). The line under the filters shows how many clients match right now.
- Click Save draft. The sheet closes and the draft appears in the list. Saving never sends anything.
- Open the draft's ⋯ menu and choose Send now… or Schedule….
Send now… opens a confirmation that shows how many clients match. Click Send now to send straight away. A sent campaign can't be called back, edited or sent again.
Schedule… asks for a Send at time, in your device's time zone. A scheduled campaign goes out within about 15 minutes of that time. If its audience is too large to work out at that point, or campaigns are turned off for your business, it isn't sent: it goes back to draft and you get a Campaign not sent notification.
Click a draft or a scheduled campaign to edit it. A sent campaign opens read-only. The ⋯ menu also has Unschedule, which turns a scheduled campaign back into a draft, and Delete, which asks you to confirm first. Messages already sent stay sent.
Audience filters
| Filter | Who it keeps |
|---|---|
| Language | Clients whose communication language is English, Eesti or Русский. Any keeps everyone. |
| Tags | Clients who have all of the tags you list. Press Enter after each tag. |
| Last visit before (days ago) | Clients whose last booking was more than this many days ago. |
| Last visit after (days ago) | Clients whose last booking was within this many days. |
| Wallet balance below (EUR) | Clients whose wallet balance is under this amount. |
| Loyalty segment | Clients by their bookings: Champions (5 or more, the last within 60 days), Loyal (3 or more within 90 days), New (one booking within 45 days), At risk (no booking for 90 days) and Promising (everyone else). |
| Membership | Active member, Frozen, Payment overdue, Cancelling, Former member or Never a member. |
| Plan | Members on this plan. |
| Pack visits left fewer than | Members with a visit pack that has fewer visits left than this. |
| No check-in for (days) | Members who haven't checked in for this many days, including members who never have. |
| Checked in within (days) | Members who checked in within this many days. |
| Home location is one of | Clients whose home location is one of the ticked locations. Shown with two or more locations. |
| Visited one of these locations | Clients who checked in through a door of a ticked location, or had a booking there (not cancelled, not a no-show), within the last Visited within the last (days) days: 30 when left empty, at most 365. Only door check-ins count: a check-in at the front desk without a door doesn't. A deactivated location that is still ticked shows as inactive, so you can untick it. |
Filters combine: a client must match all of them. The last-visit filters skip clients who have never booked.
On a very large client list, some combinations of filters need too much data to count. The line under the filters then says the audience is too large: narrow the filters. With Visited one of these locations, choose fewer days. The line counts matches among the first 10,000 clients, or the first 1,000 when you use a membership, plan, credits, check-in, last-visit, segment or wallet filter (fewer when you combine several of them). On a larger client list it says at least that many of them match; the campaign itself reaches every match.
A campaign reaches every matching client. A large audience is sent in batches: the campaign shows Sending until the last batch has gone out, then Sent with the size of its audience: the matching clients it went to. If a batch fails, the clients already reached keep their message, the rest don't get it, and you get a notification. A campaign can't be edited or deleted while it is sending. With Visited one of these locations, the visitors are worked out once when the send starts, so a visit made while it is sending doesn't add anyone.
Set up automations
Automations run once a day and send a message to each client who matches the trigger.
- Scroll to Automations on the same page and click New automation. A sheet opens.
- Pick a Trigger. The line under it explains who it reaches.
- Enter the number the trigger needs (Days, Visits left (at most) or Balance below (EUR)). Nola fills in a sensible default and shows it as Suggested under the field.
- Set Wait between messages (days): the same person gets this automation at most once in that many days. Leave it empty to send it to each person only once.
- Give it a Name (optional); left empty, the trigger's name is used. Pick Send by: Email or SMS, and write the Message body. Subject (email only) is optional.
- Click Add automation. It starts active.
Member triggers reach members with a membership, pack or trial:
| Trigger | Sends when | Default |
|---|---|---|
| Member hasn't been in | A member with a running membership hasn't checked in for N days. | 14 days, at most every 30 days |
| New member hasn't been in yet | A member joined N days ago and hasn't checked in since. | 7 days |
| After a member's first visit | N days after a member's very first check-in. | 1 day |
| Membership is ending | N days before a membership ends, for example after the member cancelled. | 7 days |
| Freeze is ending | N days before a member's freeze ends. | 3 days |
| Minimum term is ending | N days before the member's minimum term ends. | 30 days |
| Pack running low | A member's visit pack has N visits left or fewer. | 2 visits |
Member triggers only message members who agreed to marketing, and never a frozen member (except Freeze is ending).
Client triggers work from bookings and wallets:
| Trigger | Sends when |
|---|---|
| Client hasn't booked | The client's last booking was at least N days ago (90 by default). |
| After the first booking | N days after the client's first booking with you. |
| Wallet balance is low | The client's wallet balance drops below the amount you enter. |
| Birthday month | The client's birthday is this month, in your business's time zone. It repeats every year. |
The list shows each automation's trigger, channel, status and Last run. Click one to edit it; its trigger can't be changed, so add a new automation for another one. The ⋯ menu has Edit, Pause or Resume, and Delete, which asks you to confirm first.
Check delivery
Under each sent campaign, the list counts that campaign's own messages: how many were sent, are waiting to go out, failed or were not sent (for example an SMS that went by email instead, or a message the email or SMS service skipped). Only the parts that apply are shown, and past 500 a count shows as 500+. The audience size in the When column is how many clients the campaign was for; these counts are what happened to the messages.
When no email or SMS service is connected, a campaign is a test send: it shows Test, not delivered, and the line under it says nothing was delivered. Campaigns sent before 20 October 2026 show no message counts.
