Door access for members
Let members into the gym with a phone pass, PIN or card. Set up zones and doors, choose who gets in when, and what happens when a payment is late.
Door access lets members open the gym door themselves with the pass in their phone, a PIN or a card. Nola checks their membership at every entry: a paused, ended or unpaid membership stops opening the door straight away, and every entry is logged.
How it fits together
- A zone is an area people enter, like the gym floor, a studio or the sauna. It has opening hours, staffed hours and its own rules.
- A door belongs to a zone. It can be a reception desk, a self check-in kiosk, or a real door opened by a relay, a Nola Door Agent or a lock system.
- Your plans say which zones a membership opens and when. See Plans.
- Members show a pass: the rotating QR code in their account (or in Google Wallet or Apple Wallet), a PIN or a card. See Your door pass.
Add a zone
- Open Settings → Access control and click Add zone.
- Enter a Name such as "Gym floor" and pick the Type.
- Set Capacity if the area has a limit. When it is full, the next person is refused with "Area is full".
- Choose Pass sharing:
- Allowed: the same pass works again straight away.
- Blocked for 5 minutes: after an entry the same pass is refused for 5 minutes, so it can't be handed back to a friend at the door.
- Exit needed before re-entry: needs an exit reader. Nobody gets in twice without leaving first.
- Under Open, keep Open 24/7 or click Set opening hours and pick days and times.
- Under Staff on site, set when someone is there. Outside these hours only plans that allow entry without staff get in.
- Under Unstaffed hours, choose what members also need when nobody is on site: a Minimum age, A photo on file, A signed liability waiver or A completed induction.
- Optionally, under Bookings that open these doors, pick resources. People with a booking on them get in from 15 minutes before until 15 minutes after, even without a membership.
- Click Save.
Add a door
- In the zone, click Add door and give it a name, such as "Front door".
- Pick the Hardware:

- Choose the Direction (Entry, Exit or Entry and exit) and how long the door stays unlocked.
- Click Save.
Who gets in
At every entry Nola looks for something that lets the person in, in this order: staff, a booking, a guest or day pass, then a membership. Owners and managers get in at any time; other staff while the site is staffed.
A membership opens the door when it is active, the plan includes the zone, it is within the plan's days and times, and, outside staffed hours, the plan allows entry without staff and the person meets the zone's unstaffed rules. Packs use one credit per day at the door, and a second entry the same day is free.
When someone is refused, staff see why:

| Payment overdue | A payment has been due longer than you allow. |
| No active membership | Nothing current lets them in. |
| Not allowed at this time | Outside the plan's hours, or no staff on site and the plan doesn't allow that. |
| Plan doesn't include this area | The plan leaves this zone out. |
| No visits left | The visit limit or the pack's credits are used up. |
| Area is full | The zone is at capacity. |
| Pass was just used | Pass sharing is blocked and the pass was used moments ago. |
| Missing induction, waiver, photo or age | An unstaffed-hours rule isn't met. |
| Closed now | Outside the zone's opening hours. |
When a payment is late
By default the door keeps opening until the membership goes on hold. To close it sooner, open Settings → Members and set Block door access after a payment is due (days). 0 blocks the doors as soon as a payment fails. See Member settings.
Passes, PINs and cards
- Members get a rotating QR pass the first time they open Door pass in their account. It changes every 30 seconds, so a screenshot stops working within a minute.
- Staff add a PIN or a card or fob on the member's sheet under Door access, and can add a photo (with the member's consent) and mark the induction done. See Members.
- Revoke stops a pass, PIN or card right away.
Guest passes
If a plan includes guest passes (set Guest passes per month in the plan's Access section), members invite a guest from their Door pass page and share a link. The guest accepts your liability waiver, if you publish one, and gets a QR code that opens the door once on that day.
