Member documents and failed payments
Publish membership terms, a waiver and a health declaration for members to accept, and decide what happens when a payment fails.
Settings → Members holds the documents members accept when they join and the rules for failed membership payments.
Publish your documents
There are four documents:
| Document | Purpose |
|---|---|
| Membership terms | Price, notice, commitment, pauses and how to cancel, in plain words. |
| Liability waiver | What the member takes responsibility for when training. |
| Health declaration | The member only answers whether they are fit to train. |
| House rules | Shown to members; not required to join. |
- Click Add (or Edit) on a document.
- Pick the Language, then enter a Title and the Text.
- Click Publish new version.
- Repeat for each language your members use.
Members who join online must accept every published document except the house rules. Staff selling at the desk confirm the member accepted the current terms.
Each publish creates a new version. New members accept the newest version; members who already accepted keep the version they agreed to. The member's page shows which version they accepted, when and how (online, on the tablet or recorded by staff).
Failed payments and debt
When a membership payment fails, the membership becomes Past due and the member is told. Stripe retries card payments by itself; these settings decide what Nola does meanwhile.
| Setting | What it does |
|---|---|
| Block online booking while a payment is due | Off: members can still book during the grace period. Staff can always book them at the desk. |
| Put the membership on hold after (days) | On hold means no included bookings until the debt is paid. The default is 14 days. |
| End the membership after being on hold (days) | Leave empty to never end it automatically. Unpaid charges stay open. |
Click Save. A membership goes back to Active as soon as its unpaid charges are paid.
