Manage trainers

Invite trainers, show their profiles, set prices per trainer or tier, assign clients, approve time off, pay trainers and see how each one is doing.

Trainers get their own login and their own workspace for the day: sessions, classes, clients, notes, hours and time off. You manage them under Services → Coaches.

Invite a trainer

  1. Open Services → Coaches and the Trainers tab.
  2. Click Invite trainer.
  3. Enter their Name and Email. Optionally add a Tier, such as Senior, and their Private session price per hour.
  4. Click Send invitation.

Nola does three things at once: it emails the invitation, creates their calendar (a coach resource with weekdays 9 to 17) and creates a draft profile. Once they accept, they open their workspace at /app/trainer. See Your trainer workspace.

A coach you added before, linked to a team member, shows Create profile on the Trainers tab.

Profiles and the public trainers page

Trainers write their own name, photo, bio, specialties, languages and certificates. You decide who is shown:

  • Switch Public on to show a trainer on your booking page under Our trainers (/book/p/<your-slug>/trainers).
  • Set a Tier in the trainer's row. Tiers drive tier prices and tier packs.

A trainer's public page shows their profile, the classes they teach this week, a Book a session button for private sessions, and the packs that are only for them or their tier.

Prices per trainer or tier

On the Trainer prices tab, pick a service, a trainer or tier, and a price, then click Save price. When someone books that service with a trainer, the price is:

  1. the trainer's own price, if set;
  2. otherwise the price for their tier, if set;
  3. otherwise the service price.

Your special pricing rules then apply on top. Private sessions booked on the Book with a trainer page use each trainer's own hourly price.

Packs and plans for one trainer

In a plan, set Trainer to Only with a trainer or to the trainers of a tier. The plan then only covers sessions with that trainer (or tier). See Create membership plans and packs.

When someone buys a pack for one trainer, they become that trainer's client automatically.

Assign clients to trainers

Open a client under Clients. Under Trainers, pick a trainer in Assign a trainer and click Assign. The first trainer is the client's main trainer. A trainer sees their assigned clients, plus everyone who trained with them in the last 90 days. Remove a trainer with the cross next to their name.

Time off

Trainers ask for time off from their workspace. On the Time off tab:

  • Open requests show what is booked in that time. Click Approve or Decline.
  • Nothing booked is cancelled automatically. Move the session, set a substitute for a class or cancel it. The Open links take you there.
  • Time off needs a manager's approval: switch it off to let time off go straight onto the trainer's calendar.
  • Trainers can change their own weekly hours: switch it off if you set their hours yourself.
  • Owner and managers can read trainer and client messages: off by default. See Messages between trainers and clients.

Pay trainers

On the Pay tab you set pay rules once. Nola then counts every session, class and sale into a monthly statement per trainer, in your business time zone.

  1. Click New rule.
  2. Enter a Name and choose who it Applies to: Everyone, a tier or one trainer.
  3. Choose what to Pay for:

Each sessionA fixed amount for every private session marked done or checked in.
Share of session priceA percentage of what the client paid. A session from a pack counts at the pack price divided by its sessions.
Each classA fixed amount for every class the trainer teaches. When a class has a substitute, the substitute gets it.
Each class attendeeAn amount per attendee. Or click Add size tier to pay a fixed amount once a class reaches a number of attendees.
Share of what they sellA percentage of each paid membership or pack that is only for the trainer, or that they sold.
Each membership soldA fixed amount for each membership or pack they sold.
  1. Optionally tick Only these services or Only these plans. Leave all unticked to count every one.
  2. For sessions, choose whether to pay when the client does not show up, or cancels late and is charged.
  3. Click Save.

When several rules match, the most specific one counts: a trainer's own rule, then their tier's, then the rule for everyone. Classes count once they have ended, and attendees marked as no-show are left out. Turn off stops a rule from now on. What it counted before stays.

Monthly statements

Under Monthly statements, pick a month to see each trainer's total. Open months update every hour. Click Count again to update now.

  • Click a trainer to see their statement line by line. While the month is open, add a bonus or a deduction under Add an adjustment (use a minus sign to deduct).
  • Lock month counts the month one last time and freezes it. Reopen unlocks it.
  • Mark as exported once payroll has the month. An exported month can no longer be changed.
  • Download CSV gives one row per trainer and rule, with the count and the amount, ready for payroll.

Trainers see their own statement under Earnings in their workspace, never anyone else's.

Trainer insights

The Insights tab compares your trainers over the last 30, 90 or 365 days:

  • Sessions and Classes delivered, with the number of class attendees.
  • Utilisation: booked sessions and classes against the trainer's weekly hours.
  • Retention: of the clients whose first session with the trainer was at least 90 days ago, how many trained with them again after that.
  • Pack renewals: packs for the trainer that ran out and were followed by a new one.
  • Revenue: session revenue, only for people with access to money. When a session also books a court or room, the price is split by hourly rate.

Each trainer sees their own figures under Earnings in their workspace.

Messages between trainers and clients

Trainers can message their own clients from the client's card in their workspace. Clients reply under Messages in their account. Both get a notification for each new message.

These conversations are private to the trainer and the client by default. Switch on Owner and managers can read trainer and client messages on the Time off tab to let the owner and managers read them on the client's page. Trainers and clients see a notice while it is on. If a client's data is deleted, their trainer conversations are deleted too.

Certificates

Trainers add their certificates with an expiry date. 30 days before one expires, the trainer and the owner get a reminder, and the Trainers tab shows a badge.
